How to Write an Invitation Letter to the Guest of Honor

    An invitation must communicate warmth and appreciation. Nowhere are these sentiments more important than in the guest of honor's invitation letter. Whether the honoree at a small engagement shower or a major banquet, the wording of your invitation must reflect the nature of the honor and the enthusiasm of the inviting party. Clear, sincere words are key.

    Step 1

    Write a brief salutation to the guest of honor. For example: Dear Mirabelle,

    Step 2

    Describe the nature of the event and mention her role as guest of honor two to three lines below the initial salutation. Conclude the sentence with the date, time and location of the event or provide this information in a separate line. For example: Dear Mirabelle, The Evansville Animal Shelter is thrilled to request the pleasure of your company as our Guest of Honor at the 23rd annual Animal Welfare Ball on July 19, 2012 at 5:00 p.m. at the Old York Road Country Club.

    Step 3

    Write a brief sentence one line below the initial announcement, describing the activities she should expect as the guest of honor. For example: Dear Mirabelle, The Evansville Animal Shelter is thrilled to request the pleasure of your company as our Guest of Honor at the 23rd annual Animal Welfare Ball on July 19, 2012. During the event we will present you with the Humanitarian Educator of the Year Award.

    Step 4

    Conclude the letter by noting the response date and any additional instructions. For example: Dear Mirabelle, The Evansville Animal Shelter is thrilled to request the pleasure of your company as our Guest of Honor at the 23rd annual Animal Welfare Ball on July 19, 2012. During the event we will present you with the Humanitarian Educator of the Year Award. Please R.S.V.P with the enclosed card. If you are able to attend, please contact Karen Phillips via email to discuss further details at kphillips@emal.com

    Step 5

    Express warm wishes and end the invitation. For example: Dear Mirabelle, The Evansville Animal Shelter is thrilled to request the pleasure of your company as our Guest of Honor at the 23rd annual Animal Welfare Ball on July 19, 2012. During the event we will present you with the Humanitarian Educator of the Year Award. Please R.S.V.P with the enclosed card. If you are able to attend, please contact Karen Phillips via email to discuss further details at kphillips@email.com Sincerely, Kathy Banks Director of Special Events at Evansville Animal Shelter

    Tips & Warnings

    • Always follow up with a personal phone call or email to the guest of honor, especially for a large event.
    • During the event, set a "Guest of Honor" place card at the person's table.
